          Disability Resource Program

            Below is information regarding DRP administered, in-class exams.  Please note all PM exams will start at 12:30pm, with check in at 12:00 noon.

          DRP POLICIES AND PROCEDURES FOR IN-CLASS EXAM ACCOMMODATIONS

          NOTE: This information is for final exams that are administered at UC Hastings (on campus, a.k.a. “in-class exams”) by the DRP and does not apply to take-home exams[1] or timed TWEN exams

          Determining Exam Schedule

          Calculate Total Exam Length

          Make-Up Exams

          -

          GENERAL

          • DRP students, like all UC Hastings students, are subject to Records policies UNLESS otherwise modified as an accommodation, OR by DRP policy or procedure.

          • Students are responsible for:
            • Reading and understanding all final exam policies, including policies and procedures set by the Records department, as well as those set by DRP;
            • Knowing their exam accommodations, including calculating any extra time and knowing their start and end times (this document and our In-Class Break Policy will help you figure this out);
            • Knowing the exam parameters set by the professor (e.g., allowable materials, special timing considerations set by professor, etc.);
            • Arriving on time and prepared for their exams;
            • Following instructions given by proctors, as well as instructions from DRP staff.

          • It is your responsibility to seek clarification before your exams if you have any questions about the policies and procedures!  Read your emails, read the policies, and then ask us!

          • Please take the time to review your Accommodation Letter and make sure that you agree with your verified accommodations. If you have not yet received your letter, you can expect it to arrive before exams

          DETERMINING YOUR EXAM SCHEDULE

          • Please see the Records exam schedule to determine what days your exams will be given, and whether they are AM or PM exams.

          • DRP-proctored exams are administered on the same day as regularly scheduled; however, the check-in and start times are slightly different than Records’ in-class exams – 30 minutes later for AM exams, and one hour earlier for PM exams – to ensure that we have IT technical support available.  These start times are given to ensure that DRP exams end at a similar time to those given by Records.  Please see below for check-in and start times.

          • Check-in for your exams will be at the proctor station in front of the Gold Reading Room on the third floor of the 198 building.

          MONDAY – FRIDAY EXAMS

          AM EXAMS BEGIN AT 9:00am.

          You MUST CHECK IN BY 8:30am.

          PLEASE NOTE NEW AFTERNOON CHECK-IN TIME:

          PM EXAMS BEGIN AT 12:30pm*.

          You MUST CHECK IN BY 12:00 noon

          *UNLESS your exam exceeds time limits

          You MUST read below to calculate if you are required to check in earlier.

          NOTE: Please read our In-Class Exam Break Policy carefully.  You need that information in order to calculate your Total Exam Length.  The written policy includes examples that will help you figure this out.

          • Your Total Exam Length is calculated by adding the following:

          • standard exam time + accommodated (extra) time + optional off-the-clock break(s)

          SPECIAL PM EXAM SCHEDULING/CALCULATIONS

          Note that your PM exam may be rescheduled for a different start time, based on Total Exam Length! Again, this is based on calculating your Total Exam Length.  Read the policy below carefully to determine if this affects your PM exam, and if so, to calculate your exact start time.

          • If your Total Exam Length is more than 4 hours and 45 minutes including a 15 minute break, (but 6 hours or less without break), your check-in time for PM exams will be 9:30am and start time 10:00am.  For example:

          • A 3:00 hour exam at 1.5x = 4:30 + 15 minute break = 4:45 total time
          • This exam would stay at 12:30pm, 12:00 noon check-in

          • A 3:30 hour exam at 1.5x = 5:15 hours + 30 minute break = 5:45 total time
          • This exam would be rescheduled to a 10:00am start, 9:30am check-in

          • A 4:00 hour exam at 1.5x = 6:00 hours + 30 minute break = 6:30 total time
          • This exam would be rescheduled to a 10:00 am start, 9:30am check-in

          • If your Total Exam Length is more than 6 hours (without a break), your check-in time for PM exams will be 8:30am and start time 9:00am.  For example:

          • A 3:30 hour exam at 2.0x = 7:00 writing time
          • This exam would be rescheduled to a 9:00 am start, 8:30am check-in

          ALL SATURDAY EXAMS BEGIN AT 10:00AM.

          • Check-in for ALL Saturday exams is at 9:30am and start time 10:00am – UNLESS your Total Exam Length exceeds 6 hours, OR otherwise specified in your Accommodation Letter

          • If this is the case, please contact our Senior Program Coordinator, Laura Andrews Navas, at andrewsl@uchastings.edu to discuss scheduling.

          MAKE-UP EXAMS

          • Check-in for ALL make-up exams is at 9:30am and start time 10:00am – UNLESS otherwise specified in your Accommodation Letter or notified by DRP.

          • If you have any questions, please contact Laura Andrews Navas at andrewsl@uchastings.edu to discuss scheduling.

          EXAMSOFT

          • If you are taking your exam on Examsoft, you must follow the instructions given by Records on registering Examsoft and downloading your exam file.  This must be done before the day of your exam.
          • Please be aware that in some instances it has taken up to 45 minutes to download your exam file.  You should download your exam file before the day of your exam.
          • Exam start times will not be delayed due to problems downloading your ExamSoft exam file.

          **HOW TO CALCULATE THE LENGTH OF YOUR EXAM:

          Please see the break policy to determine the total amount of time you may be sitting for your exams.  No student is required to take a break, but we do encourage you to do so.  Remember to bring a lunch and a drink as you will not be able to leave the proctored area. You will be leaving your belongings in a secure, quiet room where you will be able to take your break.

          Remember to check to see if your PM or make-up exam will start at 9 am or 10 am due to its length with accommodations.

          Please contact drp@uchastings.edu if you have general questions about DRP exam procedures.  Contact our Senior Program Coordinator, Laura Andrews Navas, at andrewsl@uchastings.edu if you have questions about your specific circumstances.

          Wishing you good health through this exam season!

          [1] Information regarding take-home exams/timed TWEN exams are explained in a separate policy and will be sent in a separate email.
