P-Card Program

The Purchasing Department offers P-Cards to College departments and travelers. The P-Card is designed to provide an efficient, cost-effective procurement process for departments and travelers to make allowable purchases of $2,500 or less.

The P-Card program places a high level of responsibility and accountability on both the cardholder and his/her supervisor.

P-card Types

There are two Primary types of cards:

Department Card - This card is issued to a full-time, career employee in each department who is responsible for making purchases on behalf of the department. The employee receiving this card must:

  • Be knowledgeable of the department's authorized budget;
  • Understand how expense transactions are recorded and processed for payment; 
  • Must be able to keep track of and organize receipts;
  • must be able to reconcile their P-Card account  online within a specified period of time each month;
  • Must complete the attached application and agree to the terms and conditions of being a cardholder

Department heads are not normally the department's cardholder. The department heads are the "approvers" of the cardholder transactions. This structure has been put in place in an effort to streamline the purchase approval process. Approvers must be willing to review and approve cardholder purchases online within a specified period each month. 

Travel Card -  This Card can be issued to full-time, career employees who regularly travel on College business. Employees receiving a travel card must:

  • Be knowledgeable of the department's authorized budget;
  • Understand how expense transactions are recorded and processed for payment;
  • Must be able to keep track of and organize receipts; 
  • Must be able to reconcile their P-Card account online within a specified period of time each month; 
  • Must complete the attached application and agree to the terms and conditions of being a cardholder.
